A dietitian’s practice website is today more than a business card. A patient wants to check specialisations, prices and free slots within minutes, and then book a visit without calling. For the Balans Zdrowia practice we designed and built a complete website that makes this possible: dietetyka-bydgoszcz.pl. In this case study we show what the practice needed, what we built and how the project works day to day.
In brief: a website for a dietitian in Bydgoszcz
- Client: Balans Zdrowia clinical dietetics practice, Bydgoszcz
- Industry: healthcare, professional services
- Scope: graphic design, custom WordPress theme, online booking system, health questionnaire, blog, local SEO
- Technologies: WordPress, PHP, Tailwind CSS, Alpine.js, custom modules
- Website address: dietetyka-bydgoszcz.pl
Why a dietitian needs more than a business card
A person looking for a dietitian rarely picks the first page in the results. First they compare several practices, read descriptions of specialisations, look at the price list and check whether it is easy to book a visit. If any of these steps requires a phone call during working hours or a long wait for a reply, some patients simply move on to a competitor.
For the practice this means specific needs: the site must build trust, answer questions before anyone asks them, and accept bookings at any time. Add to this local visibility in Google, because most patients look for a specialist in their own city, for example by typing “dietitian Bydgoszcz”.
The challenge: what the dietetic practice needed
The practice specialises in diet therapy for insulin resistance, type 2 diabetes, Hashimoto’s disease, PCOS (polycystic ovary syndrome), inflammatory bowel and skin conditions, and in weight reduction. Such a wide scope requires a site that explains the offer in plain language and does not overwhelm the patient. The list of requirements was concrete:
- online appointment booking at any time, without creating an account,
- a clear price list and a description of the scope of cooperation,
- a short health questionnaire before the first visit,
- an educational blog that builds trust and visibility in Google,
- GDPR (RODO) compliance, because the practice processes health data,
- easy editing of content, slots and promotions by the dietitian, without a developer.
How we worked on the project
We run such a project in stages, because each one reduces the risk of costly fixes at the end:
- Needs analysis: a conversation with the practice, a list of specialisations, the patient journey from landing on the site to booking.
- Design and prototype: page layouts, a colour palette based on the Balans Zdrowia logo, typography and interface components.
- Implementation: a custom WordPress theme, modules for bookings, the questionnaire and customer accounts, email and analytics integration.
- Testing: checking bookings, email notifications, the mobile view and accessibility.
- Launch and care: publishing the site, SEO setup and support after launch.
The solution: a custom WordPress theme with tailor-made modules
Instead of assembling the site from a dozen ready-made plugins, we prepared a custom WordPress theme with its own modules. As a result the site is fast, visually consistent and does not depend on paid add-ons. The whole is based on Tailwind CSS and Alpine.js, and animations do not get in the way of reading (the site respects the system “reduce motion” setting). Content such as services, team and reviews are separate content types that the dietitian edits in the panel just like ordinary posts.

Online appointment booking system
The heart of the project is the booking calendar. The patient chooses a day and a free hour, and gives contact details only at the end. In the panel the dietitian sets the weekly schedule, the length of a visit and exceptions such as holidays or blocked hours. The calendar view in the panel shows the layout of the day and week, so it is easy to plan work.
After booking, the patient receives an email with a link through which they can view the visit, cancel it or save it to their calendar (an .ics file). The day before the visit the system sends a reminder. When the chosen day is full, the patient can join a waiting list and receives a message if the slot becomes free. As a result fewer visits are lost, and the practice does not have to watch the calendar by hand.

Health questionnaire, customer account and reviews
Before the first visit the patient fills in a short health questionnaire, so the consultation starts with specifics rather than collecting basic information. The dietitian edits the questionnaire’s questions in the panel. Clients can also create an account and view their bookings on their own styled pages, not on the WordPress administrator login screen.
After the visit the system sends a request for a review, and a one-time link lets the patient add it without logging in. Patients’ reviews go onto the site and strengthen the trust of new visitors.
Price list, promotions and payments
The services and price list subpage shows the scope of cooperation and prices. In the panel you can switch on a percentage promotion with a promotional window, and the discount is applied automatically when booking online. In the payment module you can also configure a booking deposit via Stripe, which reduces no-shows.

Body composition analyser, blog and FAQ
The site has a separate section about the professional body composition analyser with medical certification that the practice uses. The patient immediately knows what the examination looks like and why the nutrition plan rests on measurements rather than just declarations. Alongside it runs a blog with guides for people with insulin resistance, diabetes or Hashimoto’s, and an FAQ section answering the most common questions.

Local SEO: how the site supports visibility in Bydgoszcz
The site is prepared for local searches such as “dietitian Bydgoszcz”. It contains schema.org structured data for the practice and the team, and an FAQ in the rich results format. Each specialisation has its own description, and the blog lets the practice answer the questions patients type into Google. The practice’s contact details and address are consistent across the whole site, which makes it easier for search engines to associate it with a location.
The value of local SEO grows over time: the more valuable content and reviews, the easier it is for the search engine to regard the site as a credible source. That is why the site has room for regular publications from the start.
We designed the layout with phones in mind, from which many people look for a practice in their area. Booking, the price list and contact are available in a few taps, without zooming the screen. This matters, because the decision to book a visit is often made precisely when the patient has a moment during the day.
Security, GDPR (RODO) and accessibility
The practice processes special category data, that is, information about health, so we took care of several safeguards:
- Data anonymisation: old, closed bookings are automatically anonymised, in line with the principle of data minimisation.
- Data export and deletion: WordPress’s built-in tools make it possible to fulfil a patient’s request.
- Form protection: honeypot fields, security tokens and a limit on submissions from one IP address reduce spam.
- Backups: an automatic backup of the site database.
- SMTP mail: booking notifications sent from a real mail account, so they land in the inbox more often rather than in spam.
- Cookie consents: analytics (GA4, Meta Pixel) loads only after consent in the banner (Consent Mode v2).
We supported accessibility with, among other things, a “skip to content” link, visible keyboard focus and contrasts chosen for WCAG AA.
Technologies used in the project
- WordPress as the content management system,
- a custom theme and PHP modules (bookings, questionnaire, customer account, waiting list, promotions),
- Tailwind CSS 4, Vite and Alpine.js on the interface side,
- Stripe Checkout for deposits, GA4 and Consent Mode v2 for analytics,
- schema.org (practice, team, FAQ) for visibility in Google.
The result: a practice with full online service
The practice got a site that handles the most important processes on its own: it presents the offer, takes bookings, collects questionnaires and reviews, and reminds patients about visits. The dietitian manages content, slots and promotions from a single WordPress panel. Everything runs on its own infrastructure, so the cost of maintenance does not grow with the number of bookings.
The patient has a simple path: arriving from Google, reading the specialisations, checking the price list and booking in a few clicks. See how it looks live: dietitian in Bydgoszcz – Balans Zdrowia.
For us it is also an example of the approach we use in every project: instead of forcing a ready-made template to fit, we build a tool around the company’s processes, from the patient’s first click through to a follow-up visit and a request for a review. As a result the site genuinely relieves the practice and organises daily work.
Who this solution is for
A similar system will work in any practice where clients book visits for specific hours: dietitians, psychologists, physiotherapists, trainers, beauty salons or medical practices. The common denominator is the same: fewer phone calls, an orderly calendar, a satisfied client and a site that works for visibility in Google.
Frequently asked questions about a practice website
How much does a website for a dietetic practice cost?
The cost depends on the scope. A simple business card site costs less than a site with online booking, a customer account, a health questionnaire and payments. That is why we prepare every quote after a short conversation about the practice’s needs. You can check an indicative amount in the pricing calculator on our website.
Can the booking system be adapted to my practice?
Yes. In the dietitian project, the calendar, weekly schedule, visit length, holidays, health questionnaire and email reminders are configured in the WordPress panel, so the practice changes them on its own, without a developer.
Why WordPress rather than a ready-made booking system?
Ready-made booking platforms limit the look and the data, and the subscription often grows with the number of visits. A custom theme on WordPress gives full control over content, SEO and patient data, with no fee for each booking.
Does a dietitian’s website help with local SEO?
Yes. The site has separate service subpages, a blog, structured data for the practice and FAQ, and consistent contact details, which helps in local results, for example for the phrase “dietitian Bydgoszcz”. Rankings, however, also depend on competition and the regularity of content publishing.
How is patients’ health data protected?
The system collects only the data needed for the visit, limits the number of submissions from one IP address, and old, closed bookings are automatically anonymised. WordPress tools for exporting and deleting personal data at the patient’s request are also available.
How long does it take to build a site with a booking system?
The time depends on the number of features and on how quickly the practice provides content, photos and the price list. We set the schedule at the start of cooperation, after the needs analysis, and divide it into stages with specific deadlines.
A dietitian in Bydgoszcz online: what this project says about a practice website
A dietetic practice from Bydgoszcz competes for visibility on phrases like “dietitian Bydgoszcz” with other practices, and the result is decided by the completeness of the site, not just its address. In this project it was made up of separate descriptions of specialisations, structured data, FAQ, a blog and consistent contact details. Patients look for a specialist close to home, e.g. in Śródmieście or Fordon, so we build local context into the content. We describe the method in the article on local SEO and integrating WordPress with SEO tools.
The second element is booking. When the patient chooses a slot themselves, and the system sends reminders and handles a waiting list, the practice receives fewer phone calls. How to plan this is explained in the text on online booking systems with WordPress and WooCommerce. Polia Beauty works in a similar way.
