Brow and Lash Salon Website in Bydgoszcz – Polia Beauty

A brow and lash studio is built on skilled hands, not computers. That is exactly why its website has to work on the owner’s behalf: answering questions, showing results and taking bookings while she is busy with a client. For the brand Polia Beauty by Karolina Zielińska we designed and built such a website: poliabeauty.pl. In this case study we describe the studio’s needs, the solutions we chose and how it all works day to day.

In short: a website for a brow and lash salon in Bydgoszcz

  • Client: Polia Beauty, a brow and lash styling studio, Bydgoszcz
  • Industry: beauty, services for individual clients
  • Scope: graphic design, WordPress theme, online booking, client card, before and after gallery, vouchers, blog, local SEO
  • Technologies: WordPress, PHP, a custom modular plugin, Stripe
  • Website: poliabeauty.pl

The challenge: a small studio run from a phone

For years, many small studios book appointments by phone, text message and social media messages. It works until it starts eating into the time meant for treatments. You cannot answer calls mid-treatment, and clients ring in the evening when nobody picks up. Agreeing on a single appointment can take several messages back and forth.

Then there is the visibility problem. Brow and lash treatments are judged by eye, and a social media profile scrolls past quickly and does not answer questions about duration, price or what a visit involves. The price list may be in one post, the cancellation policy in another, and the answers in private messages. Meanwhile, someone looking for a studio nearby finds the places that have their own well-organised website, such as the carefully prepared Polia Beauty in Bydgoszcz.

These needs translated into the following requirements:

  • online booking at any time, showing only genuinely available slots,
  • a clear price list and a description of every treatment,
  • showing the results of the work, but only with clients’ consent,
  • safety: a client card with allergies and contraindications,
  • GDPR (RODO) compliance and transparent visit rules,
  • easy content management by the owner, without a developer.

For the client, the journey should be simple: arrive from Google or social media, quickly check a treatment and book in a few steps. Every extra screen is a risk that someone gives up, so we made sure the path from the first click to a confirmed appointment had as few obstacles as possible.

Why your own website and not just a social media profile

A social media profile matters, but it does not belong to the studio. An algorithm decides who sees a post, and the profile itself will not take a booking, calculate free slots or answer questions about contraindications. Your own website gives you a permanent home with the full offer that can be found on Google, while social media becomes an additional channel leading to bookings.

How we worked on the project

We began with a conversation about what clients actually look for, not about appearance. The analysis gave us three pillars: a clear presentation of services and results, online booking, and tools that take the load off after the visit, such as reminders and appointment management. Next we prepared a visual design suited to the industry: calm, light, with plenty of space around the photos and the client’s logo. The following stages were implementation, integrations and testing, in which we went through every path the way a client would: choosing a treatment, booking from a phone, changing and cancelling an appointment, sending a question.

The story of this collaboration from the owner’s perspective is told in a post on the Polia Beauty blog, which we recommend as a companion to this case study.

The solution: a WordPress theme and modules tailored to the studio

The website runs on a custom WordPress theme and a plugin in which every major feature is a separate module: treatments, bookings, payments, SEO and client data. Fonts are hosted locally, so the site loads quickly and does not send visitors’ data to external servers. We designed everything mobile-first, because that is where clients browse the offer and book their appointment.

Online booking with a deposit

The client chooses a treatment, day and time, sees the duration and price, and receives a confirmation by email together with a calendar file. The system shows only slots that are really free, because it calculates them from the treatment length and the schedule. Saving a booking is protected so that two people cannot reserve the same slot. Add-ons, such as upper lip waxing, can be added during booking, and the total time and price are summed automatically.

Using the link in the message, the client can change or cancel the appointment without calling, up to 24 hours before the slot. Before the visit she receives an email reminder. For treatments, a deposit is possible via the Stripe gateway; the feature is switched on after testing, when it makes sense for the studio.

Client card and treatment safety

Before the first visit, the client fills in a short card: allergies, contraindications, notes. This way the owner knows the risks before she starts work and chooses a safe technique. The website also describes the recommendations before and after each treatment, along with its contraindications, so a client can check whether a treatment applies to her before booking.

Before and after gallery

The gallery shows what a treatment looks like in practice, with a slider to compare the before and after result and a filter for brows and lashes. A client’s photo appears only with her consent, and withdrawing consent hides it immediately. For someone considering a first visit, it is the best proof of what to expect.

Vouchers instead of a shop

At first we considered a small cosmetics shop. After analysis we chose a simpler solution: selling gift vouchers. It is a natural way for a service studio to earn beyond the appointment calendar, and a gift people happily buy for loved ones needs no warehouse or shipping. It shows that a good project does not copy ready-made templates but adapts to how a given business really works.

Blog, treatment descriptions and client account

Every treatment has its own page with a description, duration and price, and the blog answers clients’ questions, for example how to care for your brows after lamination or how to prepare for a visit. Such content helps on Google and saves the owner from repeating the same explanations. Clients can also log in to an account and manage their appointments.

The back-office panel keeps daily work in order. The owner manages treatments, prices, schedule, bookings, gallery items, vouchers and posts from one place, without jumping between separate tools. Updating the price list or adding a new gallery item takes a moment.

Local SEO, GDPR and security

The website has schema.org structured data, a sitemap, separate treatment descriptions and consistent studio details, which helps search engines associate it with Bydgoszcz. With health-related data, safeguards matter:

  • Consents: consents are recorded, and data can be downloaded or deleted at the client’s request.
  • Anonymisation: old bookings are anonymised after a set period.
  • Form protection: an anti-bot token and a request limit curb spam.
  • Cookies: a consent banner and no external fonts.
  • Appointment management: a personal link with a one-time token instead of a login.

The website does not promise miracles: search results come with time. That is why from the start it has room for new blog posts, further gallery items and price list updates, which keep the content fresh and useful for clients.

Technologies used in the project

  • WordPress as the content management system,
  • a custom theme and a modular PHP plugin (treatments, bookings, client card, vouchers, SEO),
  • Stripe Checkout for deposits and vouchers,
  • schema.org and a sitemap for local visibility,
  • locally hosted fonts and a mobile-first layout.

The result: a website that works while the salon works

We do not quote numbers we have not measured: the website is young, and reliable conclusions need time and data from Google Search Console and the booking calendar. What we can describe is the change in how the studio works. Clients choose a free slot themselves at any time, including the evening, so there are fewer calls and messages about appointments. They arrive better prepared, because the price list, treatments, gallery and visit rules are described in one place. The website also builds the image of a professional studio before the client walks through the door. See the result live: Polia Beauty brow and lash salon.

In the coming months it is worth checking which treatments clients book most often, which search phrases bring them from Google and which questions keep coming back in messages. Such observations suggest which blog posts to write and which treatment descriptions to expand, so the website answers real needs better and better.

Who this solution is for

A similar website works well for beauty studios, brow and lash stylists, hairdressers, nail salons and spas, that is, wherever clients book appointments for specific hours and the owner works alone or in a small team. Remember, though, that a website will not do anything by itself: it has to be maintained, with new gallery items, an updated offer and the occasional blog post.

Frequently asked questions about a website for a beauty salon

How much does a website with online booking for a beauty studio cost?

The price depends on the scope: a simple business card site costs less than a website with a calendar, client card, deposits and a blog. We prepare a quote after a short conversation about the studio’s needs. You can check an approximate amount in the quote calculator on our website.

Does a beauty studio need its own online shop?

Not always. In the case of Polia Beauty, after analysis we chose to sell gift vouchers instead of a cosmetics shop, because it suits the service nature of the studio better and needs no warehouse or shipping.

Can you publish clients’ photos on a salon website?

Yes, but only with their consent. On the Polia Beauty website, every photo in the gallery has recorded consent, and withdrawing it hides the photo immediately. This matters in the context of GDPR (RODO).

Does a salon website help with local SEO?

Yes. Separate treatment pages, a blog, structured data and a sitemap help search engines understand the offer. Rankings depend, however, on the competition and on how regularly content is published, and results show after months.

Does online booking support deposits?

Yes. A deposit can be collected via the Stripe payment gateway. The feature is switched on only after testing, when it makes sense for the studio, and the slot is held for the duration of the payment.

A beauty salon website in Bydgoszcz instead of Instagram alone

A brow and lash salon operates at the scale of a district or a city, and clients usually compare several places before booking. A social media profile shows results, but it will not take a booking or explain contraindications. Your own website in Bydgoszcz brings the price list, treatment descriptions, visit rules and calendar together in one place, and Google can point to it for someone typing a local phrase. Results show after months and depend on the competition, so we treat this as a process, not a promise.

Two decisions mattered in this project: booking that shows only genuinely free slots, and vouchers instead of a cosmetics shop, because a salon does not need a warehouse. We write about calendars and deposits in the article on integrated online booking systems, and about building local visibility in the text on SEO for a local business.
